- Description
- A Site Administrator / Document Controller is required for a well established main contractor with good IT skills, process knowledge and experience in the construction field. They are looking for a Site Administrator site in East London.
Role overview- Perform office activities, such as greeting visitors, filing, photocopying, faxing, processing outgoing and incoming mail, routing and screening all incoming calls, and distributing messages to appropriate team members.
- Preparation, analysis and review of contract trackers.
- Create and maintain effective internal controls for equipment inventory.
- Maintain and safeguard company records.
- Manage the office and storage space.
- Work with management team and staff to update and maintain Company records.
- Develop effective working relationships with client representatives to reduce duplication and ensure consistency of information.
- To report to the Contracts Manager as regards any events/issues, current or potential, which may affect our service.
- Work with site staff to implement effective practices in terms of service delivery.
- Working as part of a team on the company’s Responsive or Planned Maintenance Social Housing and Refurbishment projects.
- Promote the company ethos of working in an open, honest and transparent manner at all times
- Any other relevant tasks within an office environment
Working hours- 8am to 5pm, Monday to Friday, with one hour for lunch.
- 25 days’ annual leave excluding public holidays.
MAIN DUTIES
Reporting- Report to the Contracts Manager.
- Update spreadsheets / trackers daily.
- Provide honest, open and transparent reporting to line management, the Management Team and Directors as requested, at all times and in a consistent manner/format.
- Ensure that the required level and quality of information flows in a timely manner to the management team and client team as required.
SKILLS & KNOWLEDGE- Confident in the use of Microsoft office Package(Excel Trackers)
- Excellent people skills
- Confident oral and written communication skills
- Attention to detail within set tasks and daily duties
- Communicate in a timely and effective manner with all those who have a stake in the work
- Effectively manage time in order to meet deadlines.
- Have an understanding in planned maintenance experience within the social housing sector.
