Description
A high end residential contractor new build and refurbishment contractor and developer are currently looking for an After Sales Coordinator to join their team.
 
The After Sales team is responsible for providing planned preventative maintenance in the form of tailored maintenance contracts to existing clients.
 
They also carry out both urgent and non-urgent reactive call outs for existing clients, partnering with our chosen M & E contractor as this is not undertaken in house.
 
To liaise with the team regarding undertaking any works notified to them on Spaceible App during the eight week period after the sale of a property.
 
Organise retention/defects works for their completed projects.
  
The Small Works team provides existing clients with the reassurance that if, in the future, they require any further work to refresh or make alterations to their home, they will be able to have access to our directly employed staff and database of reliable sub-contractors, who have worked with us for a number of years. This is a service that is only offered to our existing clients.  In addition, the team undertake any works required at the end of the Defects Liability period of larger projects.
 
The purpose of the role is to run the After Sales section in conjunction with the Small Projects Contract Manager.
 
Reporting to the Small Projects Contract Manager the candidate will also provide them with administrative support.
 
Other main duties are:
 
  • Manage daily diary and job schedule for Handymen. 
  • Manage and maintain reports from Handymen & Sub-Contractors. Review with After Sales Contracts Manager if required and send to client for review.
  • Send estimates to clients, follow up and book in works. 
  • Produce breakdown of invoices and works carried out for small reactive works and all maintenance, pass to accounts to raise VAT invoice. 
  • Eight weeks prior to a main contract completion submit a Maintenance Checklist to the relevant Contract Manager so he and the Site Manager can enter the required information in order that a Planned Maintenance quotation can be prepared for the client.
  • Liaise with sub contractors regarding maintenance on projects being completed.  Obtain maintenance fees, negotiating if needed.
  • Produce tailored maintenance packs for client propertiesin time for the Contract Manager to be able to take to the hand over meeting with him. 
  • Communicate with clients on maintenance packs sent, arranging contracts between clients and agreements with Sub-Contractors.
  • Schedule annual maintenance, arranging visits and corresponding between client and Sub-Contractor.
  • Send out orders for all works and maintenance.
  • Office point of contact for planned preventative maintenance & all reactive calls from clients arranging call outs, urgent and non urgentas necessary
  • Manage and respond effectively to all emails queries in the After Sales Inboxas well as own inbox.
  • Track annual maintenance contracts, producing renewal letters and renewal packs.  Make follow up calls once sent.
  • Property management for client’s rental properties, ensuring all LGC EIC and PAT tests are kept up to date.
  • Ordering small materials and plant, recording on an Excel spread sheet for accounting purposes.
  • Managing After Sales Contracts Manager’s diary, arranging site visits and client meetingsas required.
  • Updating live report and programme with current work load.
  • Checking retention schedule, updating on completion of projects.
  • Sending out 1st & 2nd retention letters to clients, receiving defects lists from clients and arranging site visits for Contracts Manager & After sales Contracts Manager.
  • Updating defects list throughout programmed work, arranging Sub-contractors.
  • Prepare monthly maintenance predictions.
  • Manage Small Works men’s time sheets and expenses.
  • Sign off all maintenance invoices from Sub-contractor, querying any invoice issues with them directly.
 
The candidate we are looking for should be organised, have good communications skills both written and oral, be numerate.  An understanding of building terminology would be an advantage.
Ideally, they should have experience of the role or something very similar as they will need to be able to work on their own initiative.
 
Salary around £25K + company pension + the offer of inclusion in our company health insurance
